General responsibilities
Responsible for maintaining all ledgers and subsidiary ledgers for Customers, suppliers and subcontractors.
Ensure that all entries are posted in the system on daily basis.
Trade accounts payable
Maintain all agreements for suppliers and sub-contractors.
Prepare monthly schedule of contractual payments that are required to be paid within the month by 5th of every month.
Prepare payment vouchers for the payments to the suppliers and sub-contractors. Make sure that payments are made as per contractual terms.
Keep record of all commercial invoices under LCs and coordinate with the treasury department.
Answer all suppliers and subcontractors inquiry.
Trade accounts receivable
Maintain all agreements for customers.
Responsible for maintaining and ensuring that Project PPCs have been raised on timely basis in coordination with Project Department.
Maintain customer’s accounting ledgers and subsidiary ledgers.
Prepare monthly ageing report of trade debtors and follow up on all outstanding invoices.
Advice the management for long outstanding invoices not received.
Maintain provision for doubtful account with the approval of top management.
Monthly reconciliations of customers, suppliers and subcontractors
Prepare reconciliation every fortnightly by 20th and 5th of every month
Send confirmations to selected customers, suppliers and subcontractors and reconcile accounting records
Monthly closing
Ensure all supplier/sub-contractors/customers monthly invoices have been received/issued and processed by 20th and 5th of every month.
Ensure that all invoices from the customers and posted and processed.
Ensure all revenue under the contract has been booked and posted.
Prepare account reconciliations of the general ledger with the subsidiary ledgers.
Coordinate with procurement department and prepare the list of all open Purchase Orders. Pass necessary journal entries
